Activating your licence
Find your Device ID, activate a key, and understand what happens when a subscription ends.
RKCoders POS runs on a 14-day trial that starts by itself the first time you open the app. After that it needs a licence key. Keys are issued per machine.
Finding your Device ID
Open Settings and go to the Licence panel. Your Device ID is at the top and you can copy it from there.
It is derived from Windows itself and it is unique to that PC. It is the only thing we need to issue a key, and it identifies a machine rather than a person, so there is nothing sensitive about sending it.
Getting a key
Send us the Device ID together with which modules you want and for how long:
- Core POS — required. The register, catalogue, stock, customers, documents, reports, users, shifts and ZATCA Phase 1.
- ZATCA Phase 2 — optional add-on. Fatoora integration.
- Loyalty — an add-on that is still in development.
We send back a signed licence key, either as text to paste or as a .rklic file.
Activating
In the same Licence panel, either paste the key or import the .rklic file. Activation is immediate and the modules unlock on the spot.
The key is checked on the machine itself, so activation does not need an internet connection and neither does staying activated. An activated till keeps working offline until the subscription end date.
If activation is refused, the usual cause is that the key was issued for a different Device ID. Check the ID in the panel against the one you sent us.
What happens when something expires
Nothing is ever deleted.
- An add-on expires — that module switches off and the rest of the app carries on. With Phase 2 gone you still get Phase 1 QR codes.
- The core licence expires — the app opens on the Licence screen instead of the checkout. Your database is untouched and everything returns the moment a valid key goes in.
The clock
The app notices if the system clock is moved backwards and falls back to the last time it trusted, rather than accepting the new one. This stops a subscription being extended by winding the date back.
The practical consequence is that you should keep the till’s date and time correct. You want that anyway: ZATCA invoice timestamps are signed, and a wrong clock produces documents with wrong times on them.
Moving to a new PC
- Deactivate on the old machine, in the Licence panel.
- Install on the new machine and copy the Device ID from its Licence panel.
- Send us the new ID and we reissue the key.
Two things to do separately, because they do not travel with the licence:
- Take a database backup from the old machine and restore it on the new one, or you start with an empty store.
- Redo ZATCA Phase 2 onboarding on the new machine. The device keys are tied to the old PC and cannot be moved.
If the old machine has died and you cannot deactivate it, tell us — we can reissue.
Several tills
Each till needs its own licence, bound to its own Device ID. Send us all the Device IDs at once and we will quote for them together.
Remember that tills do not share a database. Each has its own catalogue and its own sales, and moving a catalogue between them is an export and an import.
